Vesper Design is a small arts and photography studio in Rancho Santa Fe, California. We host workshops, art events, and photo sessions in a warm, curated space designed to inspire. Our focus is on creative collaboration and community, supporting local artists and offering clients meaningful, art-centered experiences. As our Full-Time Studio Assistant, you’ll be the first point of contact for guests, help maintain studio operations, and provide hands-on support across front-desk, workshop, and photo-studio functions.
- Greet visitors, manage check-ins/check-outs, and handle point-of-sale transactions in Square
- Respond promptly to phone, email, and in-person inquiries; schedule photo sessions
- Coordinate schedule with studio director, artists, hair and makeup artists, and customers
- Maintain clean, organized reception, kitchenette, and shared workspaces according to studio checklists
- Assist instructors by setting up workshop tables, distributing supplies, and guiding participants
- Assist and check out customers during walk-in open studio sessions
- Manage mail, shipments, and basic administrative tasks (filing, data entry, light bookkeeping)
- Monitor studio supplies; restock refreshments and report inventory needs
- Ensure compliance with safety, confidentiality, and loss-prevention protocols
- Support the Studio Director with ad-hoc projects, event preparation, and vendor coordination
- Support Workshop Assistant and Studio Director with marketing and social media posts
- Prior customer-service, administrative, or assistant experience
- Excellent communication and interpersonal skills
- Proficiency with Google Workspace, Microsoft Office
- Familiarity with use of Windows Computers
- Strong attention to detail, organizational skills, and ability to multitask in a fast-paced environment
- Ability to stand, move equipment, and occasionally lift up to 25 lbs
- Reliable attendance; punctual and able to work the core 10 AM–5 PM schedule
- Background in project management, event coordination, or hospitality
- Familiarity with social media platforms (Instagram, Facebook)
- Familiarity with ticketing platforms and e-mail marketing tools (Mailchimp, Wix, Square)
- Familiarity with Zoom, Notion, Adobe Creative Suite, and Adobe Express
- Experience drafting content for websites and social media
- Basic photo-studio knowledge (lighting, gear handling)
