Job Summary:
We are seeking a detail-oriented and highly organized Administrative Assistant to support our legal team. The ideal candidate will have experience working in a law firm or legal environment and will be skilled in formatting, editing, and proofreading legal documents, agreements, and correspondence using Microsoft Word. This role is critical in ensuring the accuracy, consistency, and professionalism of client-facing materials.
Key Responsibilities:
- Format, revise, and proofread legal documents, contracts, letters, and agreements using Microsoft Word (including styles, tables of contents, redlining, and track changes).
- Prepare and maintain templates and standardized legal forms for firm-wide use.
- Organize and maintain physical and digital filing systems in compliance with legal retention policies.
- Coordinate scheduling, calendar management, and meeting logistics for attorneys.
- Manage incoming and outgoing correspondence, including scanning, faxing, emailing, and mailing.
- Assist with billing, time entry, and expense reporting as needed.
- Communicate professionally with clients, court staff, and internal team members.
- Provide general administrative support including copying, scanning, and supply management.
Requirements:
- Prior experience in a legal administrative assistant or legal secretary role preferred.
- Proficiency in Microsoft Office Suite, especially advanced Microsoft Word skills (styles, templates, track changes, compare documents, etc.).
- Exceptional attention to detail and ability to manage multiple formatting tasks with accuracy under tight deadlines.
- Strong organizational and time-management skills.
- Professional verbal and written communication skills.
- Ability to handle confidential information with discretion.
- Will be required to test on MS Word 365
