Key Responsibilities
• Oversee daily office operations, including scheduling, payroll management, and administrative assistance.
• Foster and sustain positive relationships with vendors, ensuring adherence to company policies and local regulations.
• Supervise the maintenance of office equipment, ensuring all systems are fully operational.
• Collaborate with the Operations Manager for efficient scheduling and management of pickups, returns, and receipts.
• Gather event details from producers and create weekly crew schedules utilizing T-Sheets.
• Adjust schedules as necessary, managing unexpected changes and additional shows.
• Monitor crew attendance and resolve scheduling conflicts as they arise.
• Validate weekly payroll data to ensure accuracy and compliance with company policies and state regulations.
• Manage vendor invoices, credit card transactions, and recurring expense processing.
• Liaise with vendors to address payment inquiries and negotiate terms when required.
• Handle employee reimbursements and per diem, ensuring verification before posting to QuickBooks.
• Assist with recruitment activities, including the distribution of job applications and supporting onboarding processes for new hires.
• Organize office events, such as staff recognition and holiday celebrations.
• Maintain supplies and inventory, working closely with key vendors to ensure adequate stock levels.
• Support the distribution of event materials and manage company promotional programs.
Required Skills
• Minimum of 1 year of experience in accounting and finance, coupled with a background in office administration.
• A degree in Accounting, Finance, or a relevant certification (e.g., bookkeeping).
• Proficiency in QuickBooks Online, payroll software, and Microsoft Office Suite (Word, Excel).
• Exceptional communication skills and the ability to efficiently juggle multiple tasks.
• Experience in vendor management, accounts payable, and payroll processing.
• Comfortable working in a Mac-based environment.
