Position Summary
We are seeking a highly organized and dependable Office Assistant to support the CHRO and broader HR team. This role will provide administrative and project support, assist with recruiting and onboarding, coordinate with the accounting and billing departments, and complete general office duties. The ideal candidate will be detail-oriented, proactive, and comfortable working across departments.
Key Responsibilities
Executive & Administrative Support
Assist the CHRO with scheduling, project coordination, and administrative tasks.
Maintain and organize HR files and documentation.
Prepare reports, presentations, and communications for HR initiatives.
Employee badges.
General employee filing and project filing.
Assisting Recruiting Team, HR Generalist and HR Coordinator with special projects.
Responding to HR Department emails.
Recruiting & Onboarding
Review incoming resumes and assist with candidate screening.
Coordinate interview scheduling with hiring managers.
Updating hiring department managers with new employee information.
Set up new hire access requests, drug screenings and welcome emails.
Serve as backup support for new hire orientation and onboarding logistics.
General Office Support
Support the accounting and billing departments with mail handling and special HR-related requests.
Ensure conference rooms are scheduled and set up.
Monthly cleaning schedules for departments.
Submit building maintenance requests.
Other duties as assigned.
Requirements
Qualifications
1–2 years of experience in administrative support function for healthcare preferred.
Human Resources Experience a Plus But Not Required.
Strong organizational and communication skills.
Proficiency in Microsoft Office Suite and HRIS systems.
Ability to handle confidential information with discretion.
